Who is responsible for your data
SM Sunshine Media Ltd, registered in England and Wales under company number 13895466, registered office Suite A Bank House, 81 Judes Road, Egham, Surrey, TW20 0DF, United Kingdom, is the controller of the personal data described here.
Contact us about anything in this policy at contact@sunshine-media.org.
This policy covers our website at videomanager.io and the VideoManager software. We are based in the United Kingdom, so we work under the UK GDPR and the Data Protection Act 2018. If you are in the European Union or the EEA, the EU GDPR also applies to us in respect of your data, and this policy is written to meet both.
Information we collect and why
Information that remains on your device. The Software operates locally. When you supply an address, the connection to that address is made directly from your device and is not routed through our systems.
We do not receive or store:
- the links you enter into the Software — these are held only on your own device, as explained under Download suggestions below;
- the files you download, or their names, contents, or location;
- any record of the websites you visit or the pages you browse;
- your browsing history.
Download suggestions. So that the Software can offer you relevant suggestions, it retains the twenty most recent links you have entered or downloaded. As new links are added, older ones are discarded automatically, so no more than twenty are ever held.
This list is stored only on your own device. It is never transmitted to us, and we have no access to it. It is not used for advertising, it is not disclosed to anyone, and it is not combined with any other information.
You may switch suggestions off at any time in the Software's settings, and you may clear the stored list at any point; clearing it deletes those links permanently from your device. Where the feature is switched off, no links are retained. Uninstalling the Software also removes the list.
Information collected through the website. If you contact us, we receive your message and the contact details from which it is sent, and we process these in order to respond. Our legal basis is our legitimate interests (Article 6(1)(f)) in responding to enquiries. Our web server additionally processes standard technical information relating to the requests made to it, for security and reliability purposes. Where you have accepted analytics cookies, we process the information described in the Cookies section below; where you have not, no such information is collected.
Cookies
What cookies are. A cookie is a small text file that a website asks your browser to store on your device. It lets the site recognise your browser on a later visit — for example, to remember a setting you chose. Cookies set by the site you are visiting are called first-party cookies; those set by another company are third-party cookies.
Some cookies disappear when you close your browser (session cookies), while others stay for a set period (persistent cookies).
The two kinds we use:
Essential cookies are needed for the website to work properly and to remember the cookie choice you made. These do not require your consent, because the site cannot function correctly without them — but they do nothing beyond that, and they are not used to analyse or track you.
Analytics cookies are set by Google Analytics 4, a service provided by Google Ireland Limited. They tell us, in aggregate, how many people visit the site, which pages they read, how they arrived, and roughly which country they are in. We use this to decide what to improve. These only run if you accept them. No analytics cookie is placed on your device before you agree.
What Google Analytics does and does not see:
Google Analytics 4 does not store your IP address. It uses it briefly to work out which country you are in, then discards it. It does not record your name, your email address, or anything you type into the site.
Google keeps the underlying visit data for 14 months, after which it is deleted; only aggregated totals remain. Some of this processing takes place outside the UK and the EEA, covered by the safeguards described in the section below.
Changing your mind. You chose whether to accept analytics cookies from the banner on your first visit. You can change that choice at any time using the Cookie settings link in the footer of every page.
Refusing is as easy as accepting — there is a single "Reject" control alongside "Accept", and refusing does not limit anything on this site. Withdrawing your consent stops any further collection, though it does not undo what was collected while your consent was active.
If you would rather block Google Analytics everywhere, not just here, Google publishes a browser add-on at tools.google.com/dlpage/gaoptout. Google's own privacy policy is at policies.google.com/privacy.
Controlling cookies in your browser. You can also manage cookies directly in your browser settings, where you can see what is stored, delete individual cookies, delete everything, or block cookies altogether. The steps differ by browser — look for "Cookies" or "Privacy" in the settings menu, or use the browser's help.
Blocking all cookies will not stop you using this site, but the site will not be able to remember your cookie choice, so you may be asked again on every visit.
Who else sees your data
We do not sell your personal data and we do not share it for anyone else's marketing.
A small number of suppliers process data for us: our website host, our email provider, and Google Analytics as described above. They act on our instructions and cannot use your data for their own purposes.
We may disclose data where the law requires it, or where it is necessary to defend a legal claim or protect someone's safety.
Google Analytics may involve transfers of data outside the UK and the EEA. Where that happens, the transfer is covered by the EU–US Data Privacy Framework and its UK Extension, or by Standard Contractual Clauses together with the UK International Data Transfer Addendum. Write to us if you would like details.
How long we keep things
We keep personal data only for as long as we need it for the purposes described in this policy. Technical Analytics data is deleted after 14 months. Technical and diagnostic data is kept for a limited period and then deleted, and correspondence is kept for as long as it is useful to have context if you write to us again. Anything connected to a legal claim is kept until the claim and any time limit for bringing one have passed, and anything we are required by law to keep is kept for as long as the law requires.
If you would like to know how long we hold a particular kind of information, write to us and we will tell you.
Your rights
You can ask us to:
- give you a copy of the personal data we hold about you;
- correct anything that is wrong, or complete anything missing;
- delete your data;
- restrict what we do with it, or object to us using it;
- send you your data in a portable format.
You can also withdraw your consent to analytics at any time from the cookie settings, without uninstalling anything or stopping your use of the software.
Write to contact@sunshine-media.org to use any of these rights. We will reply within one month. There is no charge.
Complaints
If something has gone wrong, tell us first at contact@sunshine-media.org — we will acknowledge it within 30 days and tell you what we have done. You have this right directly against us under the Data (Use and Access) Act 2025.
You can also complain to a regulator at any time, whether or not you have contacted us:
- United Kingdom: Information Commissioner's Office, ico.org.uk/make-a-complaint
- EU / EEA: the data protection authority in the country where you live or work.
Security
We use encryption in transit, restrict access to personal data to those who need it, and keep our systems patched. No system is perfectly secure, but if a breach happens that puts your rights at risk, we will report it to the regulator within 72 hours and tell you directly if the risk to you is high.
Children
VideoManager is for adults. We do not knowingly collect data from anyone under 18. If you think we have, write to us and we will delete it.
Changes
If we change this policy we will update the date at the top and publish the new version here. If a change matters to you, we will give at least 30 days' notice before it takes effect.
